Based in Dynamics CRM, the Trillium Events and Courses solution fully supports every aspect of event and course management. The solution includes a fully integrated booking process and automated delegate engagement functions, such as automated booking confirmation and joining instruction emails.
The Events and Courses solution also includes an online booking journey to allow your delegates to book themselves on to an event, reducing the administrative burden of managing this yourself.
Features of the Events and Courses Solution
The Trillium Events and Courses solution caters for many different types of event, such as single day free lectures, multi-day conferences with streams and sessions, and training courses split over many months.
The solution provides functionality to manage every aspect of an event, from setting event rates, to selling sponsorship packages and exhibition spaces.
Users are able to record all of the information they need about an event from within CRM, as well as engaging with the event delegates through automated email functions.
We support both individual registration and group bookings, with choices of sessions and delegate options. The system automatically checks whether the user is eligible for a member rate based on their membership status, so that they only see the fee relevant to them.
Process Wizards within CRM help users take bookings, produce invoices and process payments and refunds for delegates. You can also set a capacity limit for the event to ensure it is not oversubscribed. Unsuccessful event registrations are automatically added to the event wait list. Cancelled bookings can then be automatically reallocated to wait list contacts, ensuring your events are always at capacity.
Online self-service functionality allows users to view their upcoming events and booking history, as well as allowing them to manage bookings or delegates, and complete pending bookings.
The Events and Courses solution helps you record all of the information related to event speakers in one place, from their speaking topic, time and abstract, to their accommodation details. The solution also has functions to record speaker expenses, offering you full end to end management of speakers related to your event.
Selling exhibition spaces and sponsorship packages is an important part of event management and the Trillium Events and Courses solution allows you to record these sales within CRM. Users can record the details of potential and actual sponsors, generate invoices and take payments, all within the same solution. Reports can then be generated to show the amount generated by sponsorship at each event and to allow you to track this against targets.
You can also use the Exhibitor and Sponsor component to record the stand number of each exhibitor and produce the relevant signage using a standard template.
To make sure your events stay on track and to show you how successful each event is, we have developed built in dashboards and reports as part of the Events and Courses solution. This gives you a high-level view of event revenue, delegate numbers, capacity and recent bookings to help you to easily monitor your events and courses.
Reports can be extended to meet the specific needs of your organisation and allow you to track event success against targets and KPIs.
Our aim is to enable stakeholders manage their interactions with you as much as possible through easy to use, self-service functionality. That's why a key part of our Event and Courses solution is the online booking process.
The online booking journey offers the booker the ability to book multiple delegates onto events, whether this includes the booker or not. Event sessions, rates and options are all dynamically presented based on the booker’s eligibility of rates and sessions selected.
As part of the process, payment can be taken by integrating to any standard payment gateway.
